Project Administrative Assistant


As part of the construction project team, the incumbent will be responsible for providing administrative support, coordinating procedures and ensuring all documents related to the construction project are compliant. The incumbent will ensure delivery of quality work in a timely fashion.


  • Coordinate the administrative functions of the construction department (taking meeting minutes, issuing purchase orders, change directives, etc.)
  • Oversee change orders and requests for bids in collaboration with the project team members
  • Create and organize construction documents
  • Manage and monitor project documents
  • Enter accounting data for billing purposes
  • Manage Project Manager's calendar for the organization and coordination of team meetings
  • Manage project close out documents
  • Communicate with subcontractors or the client regarding billing documents and payments
  • Communicate with subcontractors and suppliers regarding their statements for accuracy and discrepancies
  • Liaise with the Accounting team
  • Assist with other areas of accounting, as needed


  • Diploma in Administration, Secretarial, or similar discipline
  • Minimum of 2 years' experience in similar position, construction industry experience considered an asset
  • Good understanding and experience with accounting functions
  • Bilingual (French and English); advanced level of French required
  • Excellent knowledge of MS Office software
  • Comfortable using various computer software
  • Strong team player
  • Organized, meticulous and able to multi-task
  • Ability to work within tight deadlines, strong time management skills and ability to prioritize in a dynamic and fast paced working environment
